QuickBooks Error H505: What It Means and How to Fix It (2026)

Quick Answer

Error H505 means a workstation is incorrectly set to host the company file, causing a multi-user conflict. Only one computer should host the file — all others should be set to "not host."

What Error H505 Actually Means

QuickBooks Error H505 is a multi-user hosting conflict. It occurs when one or more workstations are configured as the host for the company file, but they should not be. QuickBooks can only have one host computer for each company file. When multiple computers claim to be the host, workstations cannot determine which machine actually has the file.

Common causes:

  • More than one computer is set to "Host Multi-User Access"
  • A previous host change was not saved correctly
  • QuickBooks was installed with hosting enabled by default on multiple machines
  • The .ND (Network Descriptor) file is pointing to the wrong computer

How to Fix Error H505

1

Identify which computer should be the host

The host is the computer where the .QBW company file physically resides. If the file is on a dedicated server, that server is the host.

2

Disable hosting on all workstations

On every computer EXCEPT the server, open QuickBooks and go to File > Utilities > Stop Hosting Multi-User Access. Confirm the change.

3

Verify hosting on the server

On the server (where the .QBW file lives), go to File > Utilities > Host Multi-User Access. It should show "Stop Hosting" which means hosting is currently ON.

4

Delete the .ND file and let it regenerate

Navigate to the folder containing your .QBW file. Find the file with the same name but a .ND extension. Delete it. QuickBooks Database Server Manager will create a new one when you restart it.

Why Error H505 Keeps Coming Back

H505 recurs when someone reinstalls QuickBooks on a workstation and hosting gets enabled by default, or when IT sets up a new machine and copies the QuickBooks installation with hosting settings intact. Create a setup checklist for new workstations: always verify hosting is OFF before connecting to the shared file.

Frequently Asked Questions

What is the difference between H202 and H505?

H202 means the workstation cannot reach the server at all (network/firewall issue). H505 means multiple computers claim to be the host (configuration issue). H505 is usually easier to fix.

Can H505 corrupt my company file?

H505 itself does not corrupt data. However, if two computers both think they are hosting and users make changes simultaneously, you could end up with data conflicts. Fix H505 promptly.

Do I need to be an admin to fix H505?

Yes. Changing hosting settings requires QuickBooks admin access and Windows administrator privileges on each workstation.

How do I prevent H505 permanently?

Document which computer is the host and include hosting verification in your IT onboarding checklist. Consider migrating to QuickBooks Online to eliminate the issue entirely.

Will QuickBooks File Doctor fix H505?

Sometimes. The File Doctor can detect and reset incorrect hosting configurations, but manually verifying each workstation is more reliable.
